Administrative Assistant

ADMIN ASSISTANT – Full Time
JOB DESCRIPTION:
- Answering phones, greeting guests, filing
- Back up for Dispatcher – including client intake, bookings and driver dispatching
- Responsible for overall state of the office
- Monitoring inventory, placing orders for supplies and services, and tracking progress and results when necessary – dealing with suppliers
- Petty Cash
- A/R - Monitor report & make A/R calls
- A/P - Monitor incoming invoices ensuring payment is made following all applicable approvals
- Assists ED with a variety of duties as required
- Board of Directors - support as required
- Participation in training and team meetings, including taking minutes
- Works with Communications Committee re website updates, social media, creating spreadsheets & presentations
- Conducts research and gathers documentation as needed in order to compile comprehensive reports.
- Maintains organizational documents (manuals etc)
- Gets mail from post office
- Misc Projects as required
QUALIFICATIONS:
The following are the essential skills, abilities and requirements for this position:
- College diploma, combined with minimum 3-5 years experience in an administrative position
- Excellent time management and organizational skills a must
- Ability to manage multiple projects with various timelines and handle competing and changing priorities.
- Experience with data gathering and analysis
- Highly developed analytical and conceptual thinking; demonstrated superior communication skills both oral and written
- Excellent interpersonal skills working effectively as part of a team and interacting with people at all levels of an organization
- Ability to work independently and reliably within a team environment
- Strong problem solving and analytical skills
- Strong computer skills including extensive knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel ie: formulas etc.) , strong Internet skills are required
- Highly organized with keen attention to detail and dedication to accuracy
- Edits copy to ensure proper grammar, spelling, syntax and style. Requires an eye for detail, an ability to use standard proofreading tools, and excellent knowledge of grammar and style
- Creative thinker with experience with fundraising is an asset
- An understanding and knowledge of the not-for-profit sector and the programs and services available throughout York Region is an asset
- Flexible, adaptable, adjusts easily to unexpected change in day to day plans
- Professional, non-judgmental disposition
- A valid driver’s license and a reliable vehicle, as some travel is required
